Overview
Now that you have created your activities, let's look at how to book them in Zaui Core (back office). This article will go over the booking process for Point to Point activities.

Home Page
- Using the calendar widget on the home page of your system, select the date you wish to make a booking on.
- Your page will refresh with relevant availability; click on the Point to Point activity you wish to book on the dashboard.
Booking Screen
The Booking information panel in the Book an Activity screen will be closed by default, and will automatically select the user that is logged in.
Guest Information
Guest 1
- Enter the Last Name, First Name, and Email Address of the customer.
- Select the Country if different from the default setting in System Settings.
- Where desired, enter information into the remaining optional fields.
- If you have configured Marketing Responses for 'How did you hear about us?', select an answer.
Add an Activity
Activity and Passengers
- The activity selected on the home page will display in this section, however, if you would like to change activities and/or dates, click on Select to revise your selection.
- Set the number of passengers to be included in this booking.
- By selecting 'Does this guest have a signed Waiver?', a note will be created on the manifest indicating that this customer has signed the activity waiver.
- Click on Add Guest if you want to create another customer profile under the same booking.
Make sure you click on Add Guest and not on Add Activity if you wish to add separate customers (with their own profile) onto the same booking. This is important as it will impact the All Bookings Report. |
Commissions
- Select a Company and Agent if this activity is commissionable (DO NOT modify if this is a Wholesale booking).
- If the Agent is not listed, click Add Agent to quickly create the account.
This section is handy if you would like to keep track of # of bookings made by your reservations staff for incentive purposes. |
Guest Pick-up/Drop-off Details
- Select the Hotel.
- By manually selecting a Pick-up Time, you can override the time that was configured in the Activity Set-up page.
- Select the Pick-up (or you can manually override the pick-up by typing it into the Pick-up Address field). Check out this article for more information on creating pick-up locations.
- Select the Drop Off (or you can manually override the drop off by typing it into the Drop Off Address field).
- If a pick-up and drop-off location are not selected, an error message will be prompted to remind you to enter this information.
Additional Notes/Comments
Notes entered in this field will be visible to the customer. Some examples included here would be a request for special occasions or noting any disabilities.
Exclusive Options for this Activity
If you have configured Pricing Options for this activity, they will be listed here.
- Set the quantity for each option that should be included.
Additional Fields
If you have configured Custom Fields (to obtain additional customer information) for this activity, they will be listed here.
Add a Package
- Click Add if you would like to include a package on the booking.
- Click select under Package and Passengers to choose the package you would like to sell.
- Select how many passengers are included in the package.
- Select a Company and Agent if this package is commissionable (DO NOT modify if this is a Wholesale booking).
- If the Agent is not listed, click Add Agent to quickly create the account.
- Under each activity within the package, click select to choose the proper activity.
Add a Product
- Click Add if you would like to include products on the booking.
- Click Select under Merchandise and Quantity to choose the product you would like to sell.
- Enter the number of items you wish to include.
- Select a Company and Agent if this product is commissionable (DO NOT modify if this is a Wholesaler booking).
- If the Agent is not listed, click Add Agent to quickly create the account.
Would you like to add another client to this booking?
If you would like to list information for more than one/all of the customers on this booking, click Add and another Guest panel will display below.
Checkout/Payment Screen
Once you have filled in all necessary fields for your booking, click on Add to Cart to go to the Shopping Cart, or Add and Checkout to go straight to the payment screen. Once on the payment screen, follow these steps:
- Review the booking and confirm that it has been booked correctly (to modify click on the Shopping Cart symbol on the top right-hand corner of the window).
- Scroll to the bottom of the page.
- By clicking Split Booking into Individuals, clients will be split into separate bookings with the payment and outstanding balance split equally.
- Select the desired Method of Payment.
- Enter all payment details including Amount to Process.
- Click Process Booking.
- If required, note the Confirmation Number or Booking Reference ID now assigned at the top of the next page for future reference.
