Overview
If you offer charters where equipment can be booked by multiple groups at the same time (such as a bus or helicopter), you may want to provide customers with the option to book the equipment privately.
Example: You offer helicopter charters with a helicopter that seats four passengers. A group of two books a tour and wishes to have the helicopter to themselves, preventing the remaining two seats from being booked by others.
This article explains two ways to convert existing rental bookings into private bookings.
What’s Covered in This Article
Using the Private Booking Flag
If a customer wants their booking to be private after it has already been created, you can update the booking directly:
-
From your main dashboard, click on the rental activity with the existing booking.
-
Select the specific booking you wish to make private.
-
In the pop-up window, check the box for Make the Booking Private.
-
Click Update Booking to save your changes.
Making a booking private ensures no other bookings can be made for the same piece of equipment during that timeslot. Bookings can still be made for other equipment.
Setting a Private Booking Block
You can also block off a piece of equipment to prevent any further bookings for a certain period:
-
From your main dashboard, select the rental activity.
- Click the Block Equipment icon
next to the specific piece of equipment you want to block.
- A pop-up window will appear where you can configure the start and end date/time for the private block.
Important notes about blocking equipment:
-
A private block appears behind any bookings already made during the same timeframe (private booking must be made first).
-
Existing bookings within the blocked time will be locked in place and will not be adjusted by the Best Fit Algorithm.
-
No new bookings can be made within or overlapping the blocked time
