There are many different ways to utilize the Taxes and Fees section of your system. We'll help explain not only how to create a tax or fee but also help define what each of the different types of taxes and fees means and how best to use them. |

How do I create a Tax/Fee?
- From the navigation bar, select Settings > Pricing > Taxes & Fees.
- Click on Create New Tax from the shortcuts panel.
- Enter the Name of your tax/fee, for example, GST.
- Select what you would like the tax/fee to be applied to, for the above example, select Products/Activities and Packages.
- Select whether you would like it to be a flat rate or a percentage.
- Enter the amount of the tax/fee.
- Select whether you would like this tax/fee to be taxable or not.
- Enter the date bands of when this tax/fee will be applicable.
- The Restrict by Destination flag is used if wish to add on a fee for a particular destination, for example, if you have a fee in place for airport pick-ups.
Different types of Taxes/Fees and when to use them
Administrative Fee
- This fee can only be set up as a flat fee and is a per person fee.
- It is used for companies that need to add an additional service fee.
- Tax can be applied to this fee.
- For transportation companies, you can restrict this fee by pick-up and drop-off location.
- This fee is assigned on an activity level and calculated on the subtotal of the activity.
- Cannot be included in discounts or online promotional codes.
- Example - a Conservation Fee for a whale watching company, or an Airport Fee for bus service.
EFTPOS / Debit Transaction Surcharge
- This fee can be set up as a flat or a percentage fee.
- Can only be applied in Zaui Core (back office).
- This fee is applied on the booking level and when processing payment.
- Example - for any company that would like to charge an extra fee for debit transactions.
Entire Reservation
- This fee can be set up as a flat or a percentage fee and is a per booking fee.
- The fee is applied to the entire booking.
- Example - used to charge a flat fee for a large group booking.
Per Person per day:
- This fee can be set up as a flat or a percentage fee.
- Flag within activity settings "when booking this activity apply all per person per day charges" must be enabled in order for the tax to be added to the booking.
- This tax will be reported on each day of activity for multi-day activities unlike Administrative or Products/Activities and Packages tax which is applied on the first day only.
- Example - used to charge an add-on fee for hotels or accommodation.
Products/Activities and Packages Most commonly used tax in Zaui!
- This fee can be set up as a flat or a percentage fee.
- This fee is applied to the activity level.
- This fee is calculated on the subtotal of the activity.
- Tax can be applied to this fee.
- companies use this tax for their state/provincial or federal taxes
- Example - state, provincial or federal taxes such as GST.
If a fee is taxable, any percentage taxes that are also applied to the subtotal will be calculated on the subtotal + the taxable fee. |
What are Surplus Fees and how do they differ from taxes?
What is a surplus fee?
- A surplus fee refers to an additional charge, which is part of your total cost for an activity, but which covers a charge that is externally imposed.
- Examples include government land use fee, park fee, or a cost for transportation which your company does not provide such as a ferry.
- These fees can be taxable or non-taxable depending on the nature of the charge for which you are using it.
How does a surplus fee differ from a tax?

Once your taxes and fees are created, you will need to select which ones are applicable to each of the activities you create.
