Overview
There are many scenarios where you may wish to share the capacity of one activity or piece of equipment with one or multiple other activities. For example, 2 tours operate on the same route, but one is targeted at international customers (higher price point) and the other is targeted at locals (lower price point and less availability).
This article covers Shared Capacity where the Parent is a Standard activity-type, sharing capacity of a single piece of equipment. Shared Capacity can also be used for Point-to-Point, and Interval Activities, following the same steps as described in this article.
| For information on sharing equipment pools, see this article on using common equipment pooling. |
Setting up your Activities for Capacity Sharing
Parent Activity
To set up capacity sharing, you will first want to create your Parent activity (the activity that holds the capacity).
- From the navigation bar, select Activities > Activity List and select a Standard activity to create from the shortcuts panel.
- Fill in the details of your activity as required, for more information on creating a Standard activity, click here.
- In the Capacity and Equipment Assignment section of the activity set-up page, make sure you assign the capacity that will be shared. Check out this article for information on creating equipment. You have two options:
a) Add a numbered maximum capacity
Or,
b) Select the piece of equipment to assign as the capacity for the tour or activity
Child Activities
Once you have created your parent activity, move on to your child activities.
- From the navigation bar, select Activities > Activity List and select your child activity to create from the shortcuts panel.
- Scroll down to the Capacity and Equipment Assignment section
- Click on Select to have the capacity from this particular child activity managed by the capacity from the parent activity you just created.
- Capacity / Employee Ratio: This setting will automatically fix the capacity of an activity to a ratio, managed by the number of Guides/Drivers you have assigned. A setting of 00 is considered a no-ratio. Let's say you have assigned a 12 passenger capacity with a 1:12 ratio. This means when you have 0 or 1 guide/driver assigned, the system will allow up to 12 passengers. When an additional guide/driver is added, the system will allow up to 24 passengers. The maximum the system will allow for passengers is capped at either this ratio or the total available capacity, in this case, the 24 passenger vehicle.
- Repeat the above steps for any other child activities that will use the capacity provided by the parent activity.
- Note that bookings for all activities with shared capacity/equipment will show on the parent activity manifest.
Restricting capacity for the Child Activity
Zaui allows you to restrict the capacity/equipment of the child activity, in case you don't want it to be the same as the parent activity.
An example of this would be if you offer a city tour for locals (child activity) and another for tourists (parent activity) using the same bus; you may want to restrict the capacity of the local city tour since it is priced lower than the one for tourists. So you might have a capacity of 10 for your tourists' tour and a capacity of 5 for your locals' tour.
Scenario 1
We book 5 passengers on the parent (remaining capacity of 5 on the parent), the capacity of 5 remains on the child activity.
Scenario 2
We book 6 passengers on the parent (remaining capacity of 4 on the parent), the capacity of the child activity is reduced to 4 as well.
Note that if we book 5 passengers on the child activity, this one will be considered sold out.
