Setting up and Managing Destinations, Zones and Pick-up/Drop-off Locations

Overview

For companies that provide pick-up and drop-off services for their activities, it is essential to set up Cities/Towns, Zones, and Pick-up Locations in Zaui.

Key Terminology

1. Creating Destinations

   1. Navigate to Settings > Locations > Destinations.

   2. Click Create a Destination from the shortcuts panel.

   3. Enter the Name.

   4. (Optional) Fill in the Province/State and Country.

   5. Click Save.

   6. Leave the Display this location for Online Point-to-Point Bookings box unchecked unless this destination is also used for a Point-to-Point activity.

   Creating Zones

   1. Navigate to Settings > Locations > Zones.

   2. Click Create Zone from the shortcuts panel.

   3. Enter the Zone Name.

   4. (Optional) Assign a Colour to visually group pick-ups for drivers and guides.

   5. (Optional) If configured, the Override Pick-up Message will replace the system-generated pick-up messages displayed on customer itineraries.

   6. Click Save.

   Creating Pick-up Locations

   Note:   A Pick-up Location can only be assigned to ONE Destination and ONE Zone.

   1. Navigate to Settings > Locations > Pick-up & Drop-off Locations.

   2. Click Create Pick-up Location from the shortcuts panel.

   3. Enter the Pick-up Location Name.

   4. Select a Pick-up Zone (previously created).

   5. Select a Destination (previously created).

   6. Fill in the Address to ensure customers arrive at the correct location.

   7. Configure optional settings:

      • Display this location on the Point-to-Point Capacity Report (Enabled by default). Uncheck if not needed. This report calculates vehicle capacity between stops.

      • Display required pick-up/drop-off address on online bookings – Used for residential pick-ups, enabling customers to enter their address manually.

      • Enable This Location as an Airport – Used specifically for Point-to-Point activities.

   8. Enter Location-specific comments or notes (e.g., “Please wait outside of the West entrance”). These will be displayed in email confirmations and on the Online Booking Engine.

   9. Click Save.
